Navigating Contract Services for Printing and Copying

Our goal is to assist you with your publications, ensuring that your materials follow guidelines developed to manage the University's visual identity. It is important that messages in our publications project a coherent, immediately identifiable "look and feel" consistent with the quality of our institution. Consistent use of our Logo, Word Mark, graphics, fonts and more reflects the University's strong tradition, as well as its dynamic future.

The Logo or Word Mark of the University should appear on all University materials, which include, but are not limited to, publications, advertisements, websites, vehicles and clothing as well as other visual images. To download the Logo or Word Mark, go to

In 2008, the University implemented a multi-vendor contract for procurement of printing and copying services. Many of these services were previously provided by Printing and Duplicating. The contract is divided into three options and covers a variety of services.

Option 1: Printing Services

Currently there are six pre-certified vendors for work covered under option 1. Any of these vendors may be utilized for printing requests. The vendor who is the "right fit" for your publication will be selected to do the work. Option 1 printing MUST be produced by one of the six contracted vendors.

A purchase requisition must be submitted for all projects covered under option 1. Our vendors are flexible with this requirement. You may enter a purchase requisition after your department receives the invoice for printed work.

Option 1 covers all printing services not covered under option 2 or option 3. It encompasses a wide variety of printed materials, including (but not limited to):

  • Four-color brochures
  • Departmental newsletters
  • Booklets
  • Color postcards
  • Photos
  • Posters
  • Pocket folders
  • Soft-cover books and journals
  • Other work, including single or multiple color printing
  • Specialty work (die-cutting, foil stamping, embossing)

Our vendors are required to present to this office, prior to printing, proofs of all jobs produced for the University. You will be notified if your publication does not meet graphic standards requirements. Information regarding these requirements may be found at

A valid index number must be provided when requesting professional business package or quick-copy services. You will not receive an invoice for these services; billing for these items will be processed internally. Monitor your budget reports carefully for option 2 and option 3 billings.

Option 2 covers a variety of items ordered frequently by University departments. These items include:

  • Business cards
  • Letterhead
  • Invitations
  • Envelopes
  • Note pads
  • Memo pads
  • Carbonless forms

Option 3 includes all types of copying and related services, including items such as:

  • Black and white copies
  • Color copies
  • Wide format prints
  • PowerPoint presentations and other types of presentation materials
  • Laminating
  • Foam board mounting
  • Spiral and GBC binding
  • Stapling, drilling and other assorted bindery services

Common Issues for University Printing

The University's official name is "Southeast Missouri State University." When used in this manner, it must be spelled out with no abbreviations. Acceptable variations and conditions of use include "Southeast," "Southeast Missouri" and "Southeast Missouri State" in text reference in printed matter after the complete name has been established. These variations must never be used alone. When referring to this University, the "U" should be capitalized.

The official Logo is the primary component of the Southeast Missouri State University graphics identity system.

The Word Mark is a unique typographic signature displaying the full name of Southeast Missouri State University. When graphically appropriate, the distinctive type of "Southeast Missouri State University" may be used alone.

The Logo should always be used on stationery and other official documents which represent the University before its public. Those charged with its display should be conscious of where and when it will be seen. As a general guideline, the Logo must be printed in its entirety without modifications.

The Logo or Word Mark of the University should appear on all University materials, which include, but are not limited to, publications, advertisements, websites, vehicles and clothing as well as other visual images. Other than in text reference, the name "Southeast Missouri State University," as it appears in the official Logo, should appear prominently (i.e., on the front cover). Southeast Missouri State University has its own official Athletics Logo, which may not be used without the express permission of the Department of Athletics or a designated University official.

The Southeast Missouri State University News Bureau publishes hundreds of news releases a year. Individual colleges, departments and offices publish even more material. With the proliferation of materials published via desktop publishing and of Web pages, the need for consistency in style and usage is more important than ever.

Refer to the information in the University Style Guide when preparing text for publication, either in print or on the Web, to ensure you are following the official style of Southeast Missouri State University.
